Procedures to Use R.I.I.T. Computing Resource

Qualifications

The computing resource at the R.I.I.T. of Kyushu University consists of facilities to be used for academic research except projects whose results cannot be disclosed) by researchers at colleges/universities all over the country or persons with equal qualifications. The computing service is offered to persons who fall into any of the following categories:

  1. a faculty member or a student of:
    • a college;
    • a university;
    • a college of technology, or;
    • an inter-university research institute corporation;
  2. a research personnel of an incorporated administrative agency (except the institutions which fall into Category 1);
  3. a full-time researcher who belongs to any other academic institution which is approved by the Director of the R.I.I.T.;
  4. a person who is employed by an external fund and conducts academic research;
  5. an employee of a private enterprise who is approved by the Director of the R.I.I.T. after the screening by a committee to be authorized by a separate regulation (except the persons who fall into Categories 3 and 4);
  6. a person who does not fit any of the above conditions but is judged by the Director of the R.I.I.T.

Four Steps to Start Using Our Supercomputer

  1. Fill in the application forms.
  2. Submit the forms (The postal address is indicated at the bottom of this page).  
    • If you are a non-Japanese citizen or may possibly access our computer from an overseas location, you must also submit the Confirmation Letter on the Computer Usage.
    • The screening of the submitted confirmation letter takes approximately one month.
    • Until the screening is completed, the use of our computer will not be approved.
    • The necessary forms can be downloaded from this page.
  3. Wait for the Approval Letter.
    If the screening of the confirmation letter is not involved, the approval will be issued in approximately one week.
    • The monthly due is the noon of 25th of every month (except 20th of April and December). Please note that the forms arriving after this due may take an extra time for processing.
      • If the above due happens to be a holiday, the due will be set to the noon of the previous business day.
      • The due for February will be announced separately every year.
      • Since March is the end of a fiscal year, we do not accept the March-only application in March. If you really want to use the computing service only in March, the application should be submitted by February.
    • Depending on the billing detail described in the application form, we might need an additional registration of a new billing destination. Since the approval letter will be issued only after this registration is completed, please submit your application earlier if possible.
      (The registration of a new billing destination may take up to 10 days.)
  4. Use your initial password printed in the approval document to start using the computer.

Other Points Which Require Your Attention

  1. The users of the research computer system of the R.I.I.T. MUST PAY the computing service fee unless the fee is exempted through special promotion programs the R.I.I.T. offers. The fee can be payed only by a school budget, a research grant, or other external fund managed by the user's institution.
    • An accounting manager is the person in charge of day-to-day payment operations at the user's department.
    • A budget manager is a person who has his/her own research budget/grant/fund and has the authority to decide how to spend it.
    • In each application, the accounting manager and the budget manager must be specified.
    • In most cases, an applicant is not an accounting manager. Please consult the accounting section of your faculty or the department office about who is in charge of payment operations.
    • An applicant need not be a budget manager. If the applicant is not the budget manager, however, the application must be approved by the person who can be a budget manager. Please consult your adviser/professor/boss.
  2. Usually, you may have several options for the source of money to pay the computing fee. However, individual options will cause some difference in the accounting procedure. Therefore, for each application, you must specify which source of money you will use for the payment at the time of application.

  4. Bank transfer charge for the payment of the computing fee must be payed on the user's (payer's) side.
  5. In principle, no refund is available for the computing service fee which has been payed already.
  6. The invoice will be sent to the accounting manager specified in the application. Please let us know if you wish the invoice to be sent to another destination.
  7. In most cases, students cannot be a budget manager.
    If you are a JSPS research fellow and pay the fee from your own Grant-in-Aid for JSPS Research Fellows, you (the JSPS research fellow who receives the grant) can be the budget manager of your application (In Kyushu University, however, the adviser of the student will be appointed to the budget manager, since the adviser supervises the usage of the student's grant).
  8. The accounting manager field of the application form must be filled in by the accounting manager himself/herself. The accounting manager must be an administrative staff who is in charge of the accounting operations of your department (In Kyushu University, such a position is usually the head of the accounting section). A faculty member, a student, a research fellow, or a part-time staff cannot be registered as an accounting manager.
  9. If you are a non-Japanese citizen, or may possibly access from an overseas location, Kyushu University must verify your application and confirm that your computer use will NEVER violate the regulations established by the Government of Japan for Export Control. The actual verification procedures will be performed by the Director of Export Control designated by Kyushu University. We request you to submit the Confirmation Letter on the Computer Usage if necessary, and to cooperate with the Director of Export Control for the indisputable verification.
  10. Even if you are a Japanese citizen, the above restrictions related to Export Control are also imposed in case you have stayed overseas for more than two years but six months have not passed yet since you came back to Japan. In such a case, please notify the R.I.I.T. staff about the fact.
  11. Only if the planned use periods do not overlap, we accept multiple applications under the same user group name for the same fiscal year. In this case, the participant lists of those applications must be identical.
